Four scenarios, one tool

What ServQueue actually does in a dental practice

  1. 01

New patient books a check-up online — Sunday night

A new patient finds your booking page from Google at 9pm. They pick a 30-minute new-patient consult, see the next available Tuesday slot, enter their details, and pay a $50 deposit. Confirmation email lands. You see them on the calendar before you open Monday.

  2. 02

Recall reminder fires — patient self-reschedules

Your 6-month recall reminder goes out 7 days before the appointment. The patient is on holiday and self-reschedules from the email link to the following Friday — no phone call, no reception interruption.

  3. 03

    Waiting room reaches capacity

Three back-to-back appointments overlap by 10 minutes. Patients scan the QR at reception, see their position, and wait in the car or grab a coffee. They walk back in when their phone buzzes. Your waiting room stays calm and your nurse isn't paging the carpark.

  4. 04

    Emergency walk-in at 3:42pm on a Friday

A patient walks in with severe pain. Reception adds them to the queue with one tap, the dentist sees the entry on the dashboard between appointments, and you slot them into the 4:20 gap that just freed up from a no-show — without scrambling.

Why dental practices trust it

Four things that matter to a practice owner

Deposits stop no-shows

Australian dental no-show rates run 10–25% on new patients. Connect Stripe and require a $50 deposit on new-patient and high-value appointments — refunded on cancel within your window, forfeited on no-show. Standard playbook; the add-on is $39/month.

Privacy Act 2024 compliant

All data stored in Australia (AWS Sydney). No clinical information enters ServQueue — only names, contact details, and appointment status. Your practice management software handles the clinical side; we handle the booking and waiting flow.

Runs alongside your PMS

Works alongside D4W, Dental4Windows, Praktika, Centaur Dental, OASiS and any other practice management software. We don't replace your PMS — we sit beside it, handling the customer-facing booking and waiting room.

Email reminders + SMS callbacks

Confirmation emails on booking, automatic reminders 24 hours before, cancel/reschedule self-serve via email link. SMS for queue notifications (it's your turn) so patients aren't stuck in the waiting room.

Questions dental practice owners ask

Will this replace our practice management system (D4W, Praktika, Centaur)?

No. Your PMS handles the clinical record, charting, Medicare/HICAPS claims, and treatment planning. ServQueue handles the customer-facing booking page, deposits, reminders, and the waiting-room queue. Most Australian dental practices run both side by side and copy treatment outcomes back into the PMS at end of appointment.

How do deposits work for appointments?

You enable the Appointments add-on ($39 AUD/month on top of any base plan) and connect your Stripe account. Per service, set the payment type to Deposit (e.g. $50 for a new-patient consult, $200 for a crown). The customer pays at the time of booking on your public booking page — Stripe pays you directly, ServQueue never touches the money. Cancellation policy is configurable; deposits inside your cutoff window are forfeited.

Can we run separate calendars for each dentist?

Today, bookings are against the practice as a whole — you allocate staff manually from the dashboard. Per-dentist calendars are on the roadmap for late 2026. If multi-resource scheduling is a hard requirement now, talk to us at hello@servqueue.com so we can scope your specific needs.

What about HICAPS, Medicare bulk-billing, and treatment plans?

Those all stay inside your PMS. ServQueue's job ends at "patient is in the chair" — your existing clinical and billing workflow continues unchanged. Patients book and pay deposits through us, then receive HICAPS receipts and Medicare claims through your PMS at the end of treatment.

What does it cost end-to-end for a single-chair practice?

Basic plan ($59/month) covers the queue, live chat, SMS, and TV display board. Add the Appointments module ($39/month) to enable online bookings, deposits, and reminders. Total: $98 AUD/month for a single chair. Most practices upgrade to Growth ($129) for multiple service types and chat attachments — total $168/month — once they're running both walk-ins and bookings.

How long does setup take?

Under 30 minutes if you're using the Appointments add-on. Set up your services (new-patient consult, check-up, scale and clean, crown, etc.), connect Stripe (or skip if you don't want deposits initially), set your hours, print the QR code for the waiting room, and you're live. Patients can book within the hour.

A calmer waiting room is five minutes away.
