Before & After ServQueue

Same patients, same practice — a calmer day

Before

A Tuesday morning

  • Eleven patients in a room with eight chairs
  • Paper sign-in sheet passed across the counter
  • Reception answers “how much longer?” nine times before lunch
  • One patient leaves without being seen
After

Same Tuesday, with ServQueue

  • Four patients in the room — the rest waiting in their cars
  • Everyone checks in privately from their own phone
  • Reception answers two enquiries — they have time for the rest of the job
  • Zero walk-outs. Every patient is seen.

The patient flow

From check-in to consult, in four quiet steps

  1. Step 1

Patient scans the QR — from anywhere

On the practice door, the reception desk, or even attached to the appointment SMS. They enter their name and phone number, confirm what they're in for, and they're checked in. No paper sheet to pass around.

    1
  2. Step 2

    They wait wherever they want

Their phone shows their position and an estimated wait. They can sit in their car, walk around the corner for a coffee, or stay in the waiting room — their choice. Reception doesn't get interrupted asking how long.

    2
  3. Step 3

    Reception sends pre-visit messages

Need them to fill out a form, bring their referral, or update their Medicare details? Send a chat message from the dashboard. They reply with photos, text, or PDFs straight from their phone — before they sit down.

    3
  4. Step 4

SMS when the room is ready

Practitioner taps Call Next. Patient gets an SMS with a one-line message — "Dr Chen is ready for you, Room 2." They walk in calm, on time, and the next room turns over faster.

Why clinics choose ServQueue

Four things that matter on a busy day

Built for privacy

No paper sign-in sheet on the counter. Patient names aren't visible to other patients. All data stored in Australia (AWS Sydney), Privacy Act 2024 compliant.

Calmer waiting rooms

Patients who don't want to sit inside don't have to. Better for immunocompromised patients, busy parents, anyone with mobility issues — and your room never feels packed.

Reception gets their day back

Patients aren't asking "how much longer?" every five minutes — they can see it themselves. Reception focuses on the things only they can do.

Practitioners stay on time

Live view of who's checked in, who's waiting, who's running long. One tap to call the next patient. No more lost time between consults.

Questions clinic owners ask

Does this replace our practice management system (Best Practice, Medical Director, Cliniko)?

No — ServQueue runs alongside it. Your PMS handles appointments, billing, clinical notes, and Medicare. ServQueue handles the patient flow on the day: check-in, waiting, and the SMS "you're up next" moment. Most practices use ServQueue specifically to take pressure off reception without replacing anything clinical.

Is this suitable for GP clinics, physios, dentists, or specialist rooms?

Yes — anywhere patients arrive and wait. Allied health (physio, podiatry, psychology), GP walk-in clinics, dental surgeries, and specialist rooms all use the same core flow: check in, wait, get called. Multi-practitioner practices typically run one queue per practitioner with Pro.

What about patients who don't have a smartphone or refuse to use it?

Reception can add any patient to the queue with one tap from the dashboard — name only, no phone number needed. They get called the same way (a staff member walks out to them, since there's no SMS). It's the same as your paper list, just digital and visible to everyone on staff.

Are patient names visible to other patients?

No. Patients only see their own position, estimated wait, and the practitioner they're waiting for. Other patients' names are never shown publicly. The full list is only visible inside the staff dashboard.

What about Australian privacy compliance?

All data is stored in Australia (AWS Sydney, ap-southeast-2). ServQueue is compliant with the Privacy Act 2024. We do not store or transmit clinical information — only contact details and queue status. Patient data never leaves Australian jurisdiction.

Can patients message us their Medicare card or referral before they sit down?

Yes. The chat supports photos and PDFs (on Growth and Pro). Patients can send their Medicare card photo, referral letter, or any form your practice asks for, directly into the chat. Reception sees it on the dashboard before the patient is called in.

What does this cost?

From $59 AUD/month (Basic) for a single practitioner. Most clinics use Growth ($129) for the multi-practitioner queue support. Pro ($209) adds multi-location and team roles for groups. No setup fees, cancel any time.

A calmer waiting room is five minutes away.

No credit card. No clinical data stored. Australian-built and supported.
